Badges and keys

Access to university premises is granted by using a special badge. Make sure the department where you will be working supplies you with keys for the appropriate building(s) and office(s).

As you could already read in the staff newsletter, the current staff card is being replaced for security reasons.

In a first phase, the cards are exchanged for Ghent University staff working on the Campus Coupure and for the DICT, DPO and DGFB departments. Come to one of the exchange sessions for this:

Campus Coupure, Foyer, Block E:

  • Monday 3 June, 8:30 to 16:00
  • Tuesday 4 June, 13:00 to 16:00
  • Tuesday 11 June, 8:30 to? 16:00

All other Ghent University employees will be asked to come in the next phase. Colleagues from the Faculty of Bioscience Engineering who receive this mail, but are not employed at Campus Coupure, do not have to come to the exchange sessions above.

For the next phase, we will repeatedly visit all the university campuses in August and September. Depending on the number of badges that must be exchanged, one or more exchange sessions (spread over the entire period) are organised on each campus. The concrete timing for this follows.

What do you bring to the exchange?

Be sure to bring your current staff card to the exchange.

In the legitimate interest of Ghent University, it has been decided, in the light of security, to include the photo on the Ghent University card. For the mandatory photo on the new UGent card you get the choice between the photo on your current staff card or the photo from your eID. If you prefer the photo of your eID on the new Ghent University card, you must definitely bring your eID card with you.

When will the new card and tag work?

The new access control tag works immediately. All entrances can be used immediately. The new Ghent University card and associated applications (epurse, discount rate, library lending, etc.) are only active from the following day. Do you want to use them the same day? Then take your old card back after the exchange. The next day it can then be throwed away.

Access to university buildings after office hours

All members of the academic and research staff are allowed entrance to university building after office hours on the basis of an application via the Access Control Office. Students have to get permission from their Dean's office.


University employees are not automatically entitled to free parking spaces. There are a limited amount of University car parks for which the demand for parking far outweighs the available space. For this reason, parking has to be strictly controlled.

If a staff member wants to regularly park his car on faculty premises, he needs to get the Dean's permission.

Parking after office hours (incl. university holidays)

Staff members who apply for a badge (on the basis of a car number plate), can also request access to certain UGent parkings after office hours, e.g. parking Rectorate building and parking sports building complex (GUSB).

Bicycle sheds

Sint-Pieters Station

To encourage our staff to travel to work by train, we provide free places in the secured bike shed of Max Mobiel (at the back of the main station). You can also use this shed in case of work-related travel (e.g. meeting in Brussels, etc.).

Sporadic users are welcome between 7.15 am till 6.45 pm; for regular users the shed is open non-stop (providing a once-only registration). More information on the Dutch website.
